By submitting an application, you agree to these terms. The CiviPet Privacy Notice explains how we use personal information. If your application is approved, any general platform terms presented during account activation will also apply to your use of the platform.
1. Who we are
CiviPet is operated by ANC Business Solutions Ltd, a company registered in England and Wales under company number 11700437. Its registered office is PMJ House, Suite 6, Highlands Road, Solihull, West Midlands, England, B90 4ND. In these terms, “CiviPet”, “we”, “us” and “our” refer to ANC Business Solutions Ltd trading as CiviPet.
2. The Pioneer Breeder Programme
The programme is an application-based BETA initiative for responsible breeders who want to use CiviPet in real breeding and owner-handover workflows and provide practical feedback before wider release. Applying does not guarantee acceptance. We may limit places, request supporting information and select applicants whose experience, animal types, location or expected use will help us test the platform effectively.
Participation does not create employment, agency, partnership, franchise, sponsorship or exclusivity between you and CiviPet. You remain independent and responsible for your breeding activities, customers, animals, records and legal obligations.
3. Eligibility and application
You must be at least 18 years old and legally able to enter into an agreement. You must provide complete and accurate application information and tell us promptly if it changes.
Where a licence, registration, approval, membership or professional qualification is required for an activity or badge you claim, you must hold it and keep it valid. We may ask for evidence and may verify information with the issuing body or publicly available records. A CiviPet badge records the evidence or status described by that badge at the time checked; it is not a guarantee of quality, health, conduct or future compliance.
4. The permanent free Pioneer Pro benefit
If we approve your application and activate your Pioneer status, your CiviPet Pro account will have no monthly or annual subscription fee for the lifetime of the CiviPet platform, provided that your account remains in good standing under these terms.
For this purpose, “lifetime” means the period during which CiviPet continues to operate the platform. It does not mean the lifetime of an individual person, animal, breeding business or company.
The benefit applies to the CiviPet Pro plan and the features included in that plan from time to time. We may improve, rename, reorganise, replace or retire features where reasonably necessary for security, law, technical operation or product development. We will not remove the Pioneer Pro benefit merely to charge an approved Pioneer Breeder for substantially the same Pro plan.
The free benefit does not include physical products, delivery, replacement tags, third-party charges, advertising, bespoke work or separately identified future services. Any optional charge will be shown before you order or activate it.
Pioneer status is personal to the approved breeder or approved breeding business. It may not be sold, shared or transferred without our written approval. If a breeding business changes legal ownership, we may ask for updated verification before approving a transfer.
5. What we expect from Pioneer Breeders
Pioneer Breeders agree to participate in good faith. This means that, where relevant to their breeding activity, they will:
- use CiviPet actively with genuine pets and litters rather than creating misleading test records;
- maintain useful pet, lineage, litter, growth, document and handover information;
- test breeder workflows and report faults or confusing behaviour;
- share honest, constructive feedback and improvement suggestions;
- contribute appropriately to community questions when they have relevant experience and time;
- communicate respectfully with owners, breeders, veterinary professionals and other users; and
- help us evaluate CiviPet Tags and owner handovers if tags are allocated to them.
There is no employment relationship, fixed working schedule or guaranteed minimum volume of posts or answers. We are looking for meaningful participation, not unpaid labour or professional advice on demand.
If an account has no meaningful activity for 12 consecutive months, we may contact the member and archive the account after at least 30 days’ notice. An archived Pioneer may ask to reactivate the account and, subject to verification and these terms, retain the free Pioneer Pro entitlement.
6. Responsible breeding and legal compliance
You are solely responsible for complying with animal welfare, breeding, licensing, sales, advertising, consumer, tax and record-keeping laws that apply to you. CiviPet is a record, community and communication platform; it does not authorise breeding or certify that a breeder, litter, animal or transaction complies with the law.
You must not use CiviPet to advertise or arrange unlawful sales, conceal required licence information, misrepresent health or parentage, or facilitate irresponsible breeding. We may request evidence, limit an advert, remove content or suspend an account where we reasonably believe there is a legal, welfare, safety or fraud risk.
7. Account security and accurate records
You must keep account credentials secure, use your own account and notify us promptly of suspected unauthorised access. You are responsible for actions taken through your account unless they result from our breach of security obligations.
Information entered into CiviPet must be accurate to the best of your knowledge. Important health, identity, licensing, ownership and microchip information should be checked against the original source. CiviPet must not be treated as a substitute for veterinary records, an approved microchip database, a legal sale contract or professional advice.
8. Pet profiles, logs, documents and adoption listings
You must have the right to upload every photograph, video, document and record you add. Do not upload unnecessary personal information about buyers, children, staff or third parties. Before publishing a pet or litter for adoption, check that the description, availability, location, licence details and supporting records are current and lawful.
You control which eligible profile details are made public through the available privacy settings. Public content may be viewed, copied or shared by other people, so do not publish private addresses, identity documents, signatures, financial information or confidential veterinary correspondence.
9. Ownership handover and CiviPet Tags
A breeder may assign a unique CiviPet Tag to an individual pet and start an ownership handover. The receiving owner must complete the separate acceptance process before control of the pet profile and linked tag moves to that owner. The engraved public QR code is not a secret ownership credential and scanning it does not by itself transfer or prove ownership.
After an accepted handover, the new owner controls the pet profile, privacy settings and linked tag. The breeder may remain recorded as the originating breeder and the breeder-created lineage, litter, growth and document history may continue with the pet, subject to applicable privacy and correction rights. The breeder must not retain access to the new owner’s private records unless the owner separately grants that access.
If you provide a buyer’s email address or telephone number for an invitation, you must have a lawful and reasonable basis to do so, tell the person that CiviPet will contact them and provide only the minimum details needed for the handover. A one-time claim code may be used where available.
CiviPet Tags are supplementary QR safety tags. They are not GPS trackers, do not guarantee recovery and do not replace compulsory microchipping, approved database registration or any legally required collar identification.
10. Community, messages and expert content
Community and messaging tools must be used lawfully and respectfully. Do not harass others, post discriminatory or abusive material, impersonate another person, publish private communications without authority, send spam or provide dangerously misleading information.
Community replies, including replies from breeders, vets, experts or future AI tools, are general information. They are not a diagnosis and do not replace a veterinary examination, emergency service, legal advice or other qualified professional advice. Urgent animal welfare concerns should be directed to an appropriate professional immediately.
11. BETA service and changes
The BETA service is still being tested. Features may contain errors, change, be unavailable or operate differently across devices. We will use reasonable care in operating the platform but do not promise uninterrupted or error-free access. Planned or “coming soon” features are not part of the current service until released.
We may contact Pioneer Breeders about testing, onboarding, incidents and material programme changes. Service communications are part of administering the programme and are separate from optional marketing messages.
12. Acceptable use
You must not misuse CiviPet, attempt unauthorised access, scrape protected information, bypass security controls, upload malicious code, interfere with other users, create false reviews or engagement, claim unearned badges, use a tag to impersonate an owner, or use the platform for fraud or unlawful activity.
13. Intellectual property and feedback
CiviPet and its software, design, branding and platform content belong to us or our licensors. We grant you a limited, non-exclusive, non-transferable and revocable right to use the platform for the programme while your account remains active.
You keep ownership of content you create. You grant us a worldwide, non-exclusive, royalty-free licence to host, reproduce, display, adapt and transmit that content only as reasonably needed to operate, secure, improve and promote the CiviPet service in accordance with your settings and the Privacy Notice. For content transferred with a pet, this licence may continue so the receiving owner can retain the pet’s legitimate history.
You may provide ideas and feedback without payment or ownership rights in resulting improvements. We will not publicly identify you in marketing or use your logo as an endorsement without permission.
14. Privacy
We use personal information as explained in the CiviPet Privacy Notice. You must also handle personal information obtained through the platform lawfully and only for legitimate breeding, handover, safety or communication purposes. You must not export or reuse user information for unrelated marketing without an appropriate lawful basis and any consent required by law.
15. Suspension, removal and leaving the programme
You may leave the programme or close your account by contacting support@civipet.com. Before closure, you should complete or cancel outstanding ownership handovers and download records you are entitled to keep.
We may restrict, suspend or terminate access where reasonably necessary to investigate or address fraud, security risk, unlawful activity, serious animal welfare concerns, repeated harmful conduct, false verification information, material breach of these terms or persistent misuse after warning. Where appropriate, we will explain the reason and provide a reasonable opportunity to respond or correct the issue.
Termination for a serious or repeated breach may end Pioneer status and the free Pro entitlement. Closing or archiving an account does not automatically delete pet history already transferred to another owner, records we must retain by law, or minimal information needed to resolve disputes, prevent fraud or maintain an opt-out request.
16. Changes to these terms
We may update these terms for legal, security, operational or product reasons. We will give reasonable notice of material changes through the platform or by email. Changes will not retrospectively remove the permanent free Pioneer Pro benefit from an account in good standing. If you do not agree with another material change, you may stop using the programme and close your account.
17. Liability
Nothing in these terms excludes or limits liability that cannot lawfully be excluded, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.
Subject to that, CiviPet is not responsible for breeding decisions, animal health outcomes, the conduct of users, the accuracy of user-supplied records, failed pet recovery, private transactions or losses caused by relying on community content instead of obtaining appropriate professional advice.
If you use CiviPet wholly or mainly for business purposes, our total liability arising from the Pioneer Programme in any 12-month period will be limited to £100, except where the law does not permit that limit. We will not be liable for indirect or consequential loss, loss of profit, loss of business, loss of anticipated savings or loss of goodwill. If you are legally a consumer, your mandatory consumer rights are not affected and any limitation applies only to the extent permitted by law.
18. General
If any part of these terms is found invalid or unenforceable, the remaining terms continue. A delay in enforcing a right is not a waiver. You may not transfer this agreement without our written approval. We may transfer it as part of a genuine sale, reorganisation or transfer of the CiviPet business, provided that the successor honours the permanent free Pioneer Pro entitlement.
19. Governing law and contact
These terms are governed by the law of England and Wales. The courts of England and Wales will have jurisdiction, except that a consumer may have additional rights to bring proceedings in another UK jurisdiction where the law allows.
